Photography, Video, Recording & Media Use Policy
Business As Pleasure programs and events are built around conversation, connection, movement, and shared experiences. From time to time, we photograph, film, record, or otherwise document portions of those experiences so that we can share the work of Karen Leba Baker and Business As Pleasure with a broader audience.
This policy explains what may be recorded, how that media may be used, and what to do if you do not want your image or voice used.

What May Be Photographed or Recorded
During Business As Pleasure programs, workshops, retreats, classes, speaking engagements, gatherings, live events, virtual events, and other experiences, we may capture:
- Photographs
- Video footage
- Audio recordings
- Group photographs
- Candid photographs
- Event footage
- Participant/trainer interactions
- Audience reactions
- Testimonials, when specifically provided
- Screenshots or recordings from virtual programs
- Images of the event space or program environment
- Short clips or excerpts from programs or events
You may appear individually, with other participants, in the background, or as part of a larger group.
Where Media May Be Used
Photographs, video, audio, and other media captured in connection with Business As Pleasure may be used to communicate, market, promote, document, or share Karen's work and the Business As Pleasure community. This may include use on:
- BusinessAsPleasure.com
- Business As Pleasure program and registration pages
- Social media platforms including Instagram, Facebook, TikTok, YouTube, and LinkedIn
- Email newsletters and email marketing campaigns
- Digital advertisements
- Promotional videos and program trailers
- Event recaps
- Online courses or presentations
- Speaker materials, media kits, and press materials
- Interviews and public relations materials
- Printed brochures, flyers, and event materials
- Presentations
- Future Business As Pleasure marketing and promotional materials
Media may also appear on third-party platforms when Business As Pleasure content is shared, reposted, embedded, distributed, or published.
Editing and Presentation of Media
Photographs, video, and audio may be edited for length, clarity, format, design, or presentation. This may include cropping photographs, editing video clips, adding captions, music, graphics or text, combining footage from different portions of an event, creating shorter excerpts from longer recordings, formatting media for different social media platforms, and using still images taken from video footage.
Business As Pleasure will not intentionally alter media in a way that falsely represents what a participant said or did.
Permission to Use Your Image, Likeness and Voice
By participating in a Business As Pleasure program, workshop, retreat, event, class, speaking engagement, or other experience where photography or recording is taking place, you may appear in photographs, video, audio, or other media.
When permission has been provided through the applicable registration or participation process, Business As Pleasure and Karen Leba Baker may photograph, film, record, reproduce, publish, display, distribute, and use your image, likeness, voice, and appearance for the purposes described in this policy. This may include marketing, promotional, educational, editorial, website, social media, advertising, and media-related uses.
No Additional Approval Required
When media has been captured and used in accordance with this policy and the permission you provided, Business As Pleasure is not required to obtain additional approval each time the photograph, video, or recording is used.
For example, a photograph taken originally during a retreat may later be used on the website, in an email, on social media, or in promotional materials without requiring a separate permission request for each use.
Compensation
Unless you and Business As Pleasure have entered into a separate written agreement stating otherwise, you will not receive payment, royalties, licensing fees, residuals, revenue sharing, or other compensation for the permitted use of photographs, video, recordings, or other media in which you appear.
Ownership of Business As Pleasure Media
Photographs, video recordings, audio recordings, edited videos, graphics, and other media created or commissioned by Business As Pleasure remain the property of Business As Pleasure or the applicable photographer, videographer, or creator.
Your appearance in that content does not transfer ownership of the media to you. This policy does not transfer ownership of your name, identity, or personal intellectual property to Business As Pleasure.
Testimonials and Personal Stories
A candid appearance in a photograph or video is different from a testimonial. Business As Pleasure will not intentionally present your words as a formal endorsement or testimonial unless you provided those words for that purpose or separately agreed that they may be used in that manner.
If you voluntarily provide a testimonial, written comment, recorded statement, interview, or participant story for promotional use, it may be edited for length or clarity as long as the meaning of what you said is not intentionally changed.
Virtual Programs and Events
Online programs may also include screenshots, screen recordings, audio, or video. Participants should understand that their name, profile image, camera image, voice, chat participation, and on-screen appearance may be visible during a virtual session.
When a virtual session is being recorded for future use beyond ordinary participant access, Business As Pleasure will make reasonable efforts to inform participants.
If You Do Not Want to Be Photographed or Recorded
We understand that not everyone wants to appear in promotional media. If you do not want your identifiable image, likeness, or voice used, please email [email protected] before the event, program, or experience whenever possible.
For an in-person event, you should also let Karen or a member of the event team know when you arrive. We will make reasonable efforts to honor your request. Depending on the event, that may mean asking you to avoid certain designated photography or filming areas, seating you outside the primary filming area, or making reasonable efforts to avoid using identifiable footage of you.
Group and Background Images
At larger gatherings, retreats, workshops, speaking engagements, or public-facing events, it may not always be possible to prevent someone from appearing incidentally in the background of a wide-angle photograph or video.
If you have opted out of media use, Business As Pleasure will make reasonable efforts to avoid featuring or identifying you in promotional content.
Changing Your Media Preference
If you previously agreed to media use and later decide that you do not want your identifiable image or voice used in new promotional materials, contact us at [email protected].
Please provide enough information for us to identify the relevant content, such as the event, approximate date, photograph, video, or platform. We will make reasonable efforts to discontinue future use of media featuring you in an identifiable way.
Media That Has Already Been Published or Distributed
A request to discontinue future use does not necessarily mean that previously published material can be completely removed. Business As Pleasure may not be able to recall or remove content that has already been printed, distributed, published, included in previously produced materials, shared or reposted by a third party, archived, included in a completed video, distributed through email, or published on a platform outside Business As Pleasure's direct control.
Where Business As Pleasure controls the content and removal is reasonably possible, we will consider the request in good faith.
Respect and Privacy
The purpose of photography and recording is to share the experience, atmosphere, community, and vitality created through Business As Pleasure. We do not intend your participation in our program to feel like surrendering your privacy.
